Ant Attendance (package in.antbuild.attendance) is a mobile app from Antbuild Software Private Limited ("Antbuild", "we") that lets employees check in and out and apply for leave, and lets managers and HR review attendance and approve leave. The app is provided to you by your employer (your "organisation"), who decides which employees use it. Your organisation owns its attendance and leave records and is responsible for how it uses them. Antbuild processes them on the organisation's behalf to run the service.
1. Information the app collects
- Account details: your name, work email, employee record and the organisation you belong to, received when you sign in through your organisation's Antbuild identity server. The app does not see or store your password.
- Location: your precise location (GPS) and the street address derived from it. It is read while the app is open: when you check in or out, and when the app checks whether you are inside your permitted work location. The coordinates and address of each check-in and check-out are saved with that attendance record. The app does not track your location in the background.
- Attendance and leave records: check-in and check-out times, working hours, corrections, leave requests, reasons, approval decisions, and any supporting documents you attach (PDF, JPG or PNG).
- Profile picture, if you choose to set one, shown with your name to your managers and colleagues.
- Device information: a random install ID, the device name and type (so a punch from the phone can be told apart from one made on the web), and whether the phone reports a mock (fake) location.
- Push notification token: an identifier from Firebase Cloud Messaging, so we can notify you about leave requests and decisions.
2. How we use it
- To record and show attendance, calculate working hours and apply your organisation's location rules.
- To process leave requests, approvals and balances.
- To send you notifications about leave requests and decisions.
- To keep the service secure, detect misuse such as spoofed locations, and fix faults.
We do not sell your information and we do not use it for advertising.
3. Who can see it
- You can see your own records.
- Your organisation's managers and HR administrators can see attendance, the location of punches, leave and documents, as their role allows.
- Service providers that run the service for us: Microsoft Azure (hosting and storage) and Google Firebase (push delivery). They process data only to provide those services.
- Authorities, where the law requires it.
4. Storage and security
Data travels over HTTPS and is stored in Antbuild's cloud environment. On your phone, sign-in tokens are kept in the device's secure storage, and a few items (such as your profile picture and recent lists) are cached for speed. You can clear the cache in Settings. Signing out removes all cached data and tokens from the phone.
5. Permissions the app asks for
- Location: to check in and out and verify your work location.
- Notifications: to alert you to leave requests and decisions (optional; the app works without it).
- Internet: to talk to the server.
- Files: only when you choose to attach a document or a profile picture.
6. Retention
Attendance and leave records are kept for as long as your organisation keeps its account with us, or as the law requires (for example labour and payroll record-keeping), and are then deleted or anonymised. Push tokens are removed when you sign out or when the token stops being valid.
7. Your choices and rights
- You can turn off location or notification permission in your phone's settings. Check-in needs location where your organisation requires it.
- You can ask to access or correct your data, or ask for your account and data to be deleted. Because the records belong to your employer, start with your HR team. You can also write to us at the address below and we will work with your organisation to act on it within a reasonable time, except for records the law requires to be kept.
- Under India's Digital Personal Data Protection Act, 2023 you have the right to access, correct and erase your personal data and to raise a grievance.
8. Children
The app is for employees and is not directed at children under 18.
9. Changes
If we change this policy we will update the date above and, for material changes, tell users in the app or through their organisation.
